• Timeline Requirements If equipment or services (catering, A/V support, photographer, merchandise) are requested, event details must be submitted at least 8 week(s) in advance. Events without equipment/service requirements have no minimum advance period. Guest lists and invitations must be finalised no later than three (3) weeks before the event. Invites to dignitaries are to be sent only through the Principal's office, this includes President, Prime Minister, Ministers, MPs, MEPs, Ambassadors, CEOs, Commissioners etc.
• Budget Approval All event-related budgets must be confirmed and approved by the relevant department prior to submission.
• Clear Purpose Each event must have a clearly defined objective or mission to guide planning and communication efforts.
• Support Based on Availability Communications and events support is subject to staff and resource availability. Requests that do not meet the stated timelines may receive limited support.
• Data Protection Notice Personal data provided will be processed by MCAST in accordance with the GDPR (EU) 2016/679 for the purpose of organising and managing College events. Data will be accessed only by authorised staff and retained in line with MCAST policies.
